Creating Scheduled Inspections
Scheduled Inspections allows you to automate routine safety, quality, and operational checks. By setting up a recurring Scheduled Inspection, the system automatically generates a questionnaire at specified intervals, ensuring consistent compliance and tracking.
Follow this guide to create and configure a new Scheduled Inspection.
Step-by-Step Guide
Navigate to Scheduled Inspections
Log in to your Transcendent administrator dashboard.
From the main navigation menu, select Work > Work Configuration > Manage Activities.
Click the Activity Type dropdown and select Inspections.
Click on Add New + icon in the upper right of the page.
Define Basic Details
Fill in the core parameters for the inspection:
Schedule: Select a desired schedule (e.g., Weekly, Monthly, Quarterly, etc.).
Schedule Description: Enter a clear, descriptive name (e.g., Security Checks, Fire Safety Audit).
Inspection: Click the Add New + icon and select the specific inspection (or checklist) the Engineer must use, from the Inspection Attributes dropdown menu.
Save.
Configure Recurrence
Set up how often the system should generate this inspection:
Manage Schedules: Navigate to Work > Work Management > Manage Schedules.
Filters: Filter the grid by selecting Inspections under Show. Filter further with the grid columns fields.
Due Date: Select the Edit icon to add a Due Date for the work generation.
Confirmation
Review your configurations to ensure the timing and assignments are correct.
💡 Pro-Tip: If you need to make edits or hold a schedule during a seasonal shutdown, you can add a Blackout Date at any time from the Manage Schedules grid view.
Frequently Asked Questions (FAQ)
Q: What happens if an inspector misses the due date? A: The system flags the inspection as "Overdue" in the system dashboard. Depending on your notification settings, both the assignee and their supervisor can receive an automated email alert.
Q: Can I assign a scheduled inspection to a group rather than an individual? A: No. You can't assign the work to more that on Engineer in the Work List queue. However, Work Dispatch allows any qualified team member to claim and complete the work order.
Q: How far in advance does the system generate the Scheduled inspection work order? Work generation is dictated by Schedule Definition parameters, and may very by customer. The most common work generation, for schedules Monthly, or greater, is 30days in advance of the Due Date. See your Administrator, or contact Support if specifics on a Schedule Definitions is needed.
