It is imperative to set Due Dates based not only on when the the work is needed, but also for manageability of work generation and distribution.
There are only three work types that require Due Dates for auto generation:
- Preventive Maintenance (PM) - Guestrooms, Public Spaces, Equipment, etc.
- Scheduled Inspections (SI) - Administrative Tasks, and Standards
- Rounds (RS) - Single work order comprised of multiple assets that can be checked quickly. (ex. Fire Extinguishers)
These three work types are the basis of your work completion percentages and Reporting.

| Scheduled Date | Used for a coordinated event, primarily associated with allocated resources: tools, employees and/or outside vendors. |
| Due Date | Date associated with on-time completion percentages, unfinished work will count against that percentage. Dashboard tiles will turn red when associated work is not completed by the Due Date. |
| Need By Date | Used for work requests only. The requester may enter a date by which they would like the work done. |
Question: When is work counted positively for my property?
Answer: Work completed on, or before, its Due Date is counted positively.
Question: Is work counted in the Month, Quarter, Year it is completed in?
Answer: The work Due Date dictates what Month, Quarter, or Year schedule it should be counted for.
Ex: Work orders, with an Quarterly schedule, that's due in September, however, generates, and is completed at the beginning, in July. This work will be counted for September's Reporting.
Question: Where can I see, at a glance, work that is close to their Due Dates to mitigate Late/Past Due work.
Answer: The Transcendent Home screen > Work Order Overview provides an instant view of total work numbers by Work Type, and color codes indicate where work is in relation to their threshold.
Some Commonly Used Reports - Property Level
Work Order History: Reports on a rundown of work orders completed within the parameters. This is one of the core reports of Transcendent for manager to see what work was completed by what users on what assets and at what dates. Powerful parameters (see attached) allows managers to run reports on parameters like assets, users, work type, or time frames. So they could see all the work performed by a user in the last 90 days or Year to Date for performance reviews.
Inspection History Detail v1: Reports on the results of the inspections that were performed as part of the work orders. This is a core report of Transcendent. Will provide the user with when the inspection was done, by who, on what asset (if any) and all the questions and answers input by the user on their mobile device (or web if allowed)
Round History: Provides a readout of all the rounds performed by the site within the Report Parameter Settings. This displays what rounds were performed, by who, and what time (start and end) and all the assets that were either scanned or marked as unable to scan during the round. There is also a Round History Details report that provides the same information but also includes the inspection results during the round (this report can be QUITE large... also provided here for the same site and parameters... 97 pages vs 309)
Work Order Completion: Provides a simple readout on how the properties are doing as far as completing work on time for the various work types. Very useful for above property auditors to view a sites details, the total work and time spend on that work within the time frame parameter. This report was not designed to be very detailed but a generic overview to make sure the sites are keeping up with standards and if they are struggling, what work types are they struggling with. Also breaks it down by the different statuses of the work. The report output is based off your current visibility, meaning this can be run for a certain site, or a site group, or the whole portfolio.
